Save as .ods, not .xlsx or .csv, and which template to use

Charities Online expects HMRC's template saved in OpenDocument format. Here is how to get that right in Excel and LibreOffice.

The file must be .ods

HMRC's template is an OpenDocument spreadsheet, which ends in .ods. The template's own instructions say to save the schedule as a .ods file, not a Microsoft Excel .xlsx file. HMRC's guidance also warns that if you change the suffix you may have problems uploading. A .csv file will not work either.

HMRC publishes two templates

GOV.UK offers an "Excel" version and a "LibreOffice" version of the schedule. Despite the name, both are .ods files. HMRC says to download the one that matches the software you use, and not to download one and convert it with the other program.

  • Using Microsoft Excel? Download the Excel version. When you save, choose "OpenDocument Spreadsheet (*.ods)" in the Save as type list. If Excel asks whether to keep the format, choose to keep OpenDocument.
  • Using LibreOffice or OpenOffice? Download the LibreOffice version and save it in the default .ods format. If asked, choose "Use ODF Format".
  • Using Google Sheets or Apple Numbers? HMRC does not offer a template for these. We suggest using LibreOffice, which is free, or a tool that fills in the template for you.

Do not just rename the file

Changing "claim.xlsx" to "claim.ods" in the file name does not change what is inside. Always use Save as and pick the format.

Donor Schedule includes both of HMRC's templates and lets you choose. It always saves a genuine .ods file.
